Review and approve changes

An import review shows what incoming records would create or update. Scout and Manual use the same saved choices and approval. Opening or editing a draft changes no business records.

Review the changes

Open an arrival in Inbox. Read Scout’s plan and follow Understand, Match and Review. Select Manual to edit the destination-field cards yourself. The original stays beside your decisions, or under the Source tab on a phone. Resolve any Needs you choices, record matches or issues. The preview refreshes after saved decisions change.

Related records appear together under their parent. Other changes use a table with New, Updates, Unchanged and All filters. Select a record to open its details, or hover over or focus its Change value to compare Current and After import. Page through long lists. The info control beside a record explains its match; uncertain matches show a warning. In the source grid, row numbers open readable evidence without expanding the sheet.

Approve the import

Under Details, check whether this arrival is a partial update or a complete list. If related records changed while you were reviewing, select Review current changes to refresh the proposed effects. Approval checks the current facts again and asks you to review again if they changed.

Select Approve import, or Approve & next to open the next arrival requiring attention. Approval saves the field choices, reviewed record matches and changes together. Future arrivals from that known source use the approved layout and source overrides automatically after validation. To require review each time, follow Change to that source’s Mappings in Configure → Sources. New field choices preserve an existing Review each time setting. Repeating the same approval does not duplicate records.

If the review is stale, refresh it and check the current effects before approving. The server refuses an outdated approval even if an old page remains open.

An order, its lines and related records share one review and approval. The same applies to catalog items with variants and contacts with addresses. Linked API collections and nested lists stay together. Completed and unprocessed records remain visible in History.

Some arrivals contain several connected record sets, such as contacts, products and orders. After all their data has arrived, Review complete import shows their changes together. Use Review fields or Review matches beside a record set to correct its choices, then return to Review. One Approve import applies the complete arrival together. A problem in any record set prevents approval until it is resolved; no part is silently imported first.

Approve selected records

Open Details, then Source records and choose up to 500 records at a time to review a smaller selection. The action becomes Approve without N records, where N counts source rows outside your selection. Review the resulting preview, then approve. A blocked parent and its children are set aside together, with an action such as Approve without 1 sales order. Related records still have to meet their shared transaction requirements. Other records stay in review until they are processed or the arrival is dismissed.

Setting aside individual problem groups is not available in Review complete import yet. Resolve every record set before approving that connected arrival.

Approve with Scout or an external agent

Draft permission lets an agent inspect evidence, edit field choices and propose matches. It does not let that agent approve changes. An agent without approval permission can return Review changes, an authenticated page showing the same plan and effects for the requesting person to confirm or cancel.

Ask Scout to carry out the import. If it needs your permission, a card appears in the conversation. Allow for one hour lets Scout approve imports of the shown record type in that conversation. Scout also needs permission to change those records. After granting permission, ask Scout to continue; it reviews the current changes before approving. This approval also lets recognized future arrivals import automatically unless Sources requires review each time.

The active permission stays visible after reload and after the import is approved. Use Revoke permission to stop new approvals immediately, including from an already running turn. External AI connections require explicit OAuth approval permission. Background Scout preparation never receives approval permission. Catalog merges always need separate human approval.

Inspect or correct the result

History retains the arrival, decisions, actors, unchanged facts and resulting records. Open a record from its row in the changes table. Draft undo reverses unapproved choices only. Once approved, use ordinary record editors to make a new business change. A name match never merges records; see Match imported records to existing ones.

After approval, open Details, then choose Compare with current records to see how the source values compare with the records now. This view changes nothing; the approved import stays in History.
